Whether you are a startup or a team of people in an established organization working on a break through project, you need intense collaboration to brainstorm on new ideas, projects etc. The standard collaboration tools such as email, instant messaging etc fall short here.

At Mithi we used Ideolve to quickly transform from an enterprise software solution company to a company having 4 new SaaS offerings in a short time of 2 years. Some of the key uses of Ideolve to help in the transformation are highlighted below.

Ideating or Brainstorming

Traditionally Ideation or Brainstorming is done by face to face meetings. But face to face meetings can be inefficient and ineffective. Just getting everyone into a room at the same time is a task in itself. Worse still, people come to meetings without much background work and that tends to waste a lot of time of the team in getting everyone up to date on all the information. Then again, everyone may not get a chance to contribute or may not be ready with their inputs so meetings are followed up with more meetings. Resulting in slow start-up time.

On Ideolve, a new idea can be easily floated as a note and shared with the team. People in the team can contribute to the idea by adding comments to the note, which can contain tables, lists, images, sketches, documents etc.

Everyone can contribute their ideas, information, and suggestions. If meetings become necessary to resolve things, they are likely to be more effective as everyone is well informed and has thought through the problem. As the idea matures, more people can be brought onto the same note or different notes can be created to map and monitor the follow-up action on it.

Product Design

Product designs are an involved process. For a software team e.g. it means working on several dimensions - the UI, UX, architecture, production environment, scalability, security and so on, have to be considered when designing a new feature or workflow.

This usually involves cross functional teams contributing and reviewing, different aspects of the designs. Design documents usually start with a simple requirement coming from the customer or an insight from a team member. From here to the final design and delivery is a process of intensive collaboration, for which Ideolve is well suited. Different artifacts, reviews, suggestions, alternatives can all be exchanged via notes and comments. Since all this can be done asynchronously, there is little time wasted in the coordination of work and things can move pretty quickly. Helping shorten the time to market.

Documentation & Publications

Most products, need a lot of documentation, to help deliver the desired benefit to customers. Whether they are end user instructions, internal training documents, website content or blogs to help understand its benefits and functioning.

While the documentation or marketing teams may be responsible for the final publication, the ideas and content come from different teams.

Ideolve can be used to gather the necessary information, the best ideas, and content, and start conversations leading up to the final content publication. With all the information gathered in the process recorded and available for future reference.

Problem Resolution & Accelerating Learning

Teams managing critical infrastructure and services can share recurring or stubborn problems with other members of the team through a note in Ideolve, to seek help for a more effective resolution to the problem or simply to request for help in quickly learning how to deal with such issues. Team members can put up their learnings or suggest approaches to resolve the issues. The experiments and final resolutions themselves can be tracked in a different note and therefore be available for future reference.

Assigning tasks and tracking progress is better done with Ideolve than email.

Publishing Live Documents

Documents sent as attachments in email are difficult to maintain. Any updates to the documents have to be sent as a separate attachment. In Ideolve, when a note is published, a link is shared. Clicking on the link will always display the latest copy of the note and its comments and uploaded files.

Project Planning

Let's take the earlier example of problem resolution. Once the problem resolution strategy has been worked out, the team member concerned with the execution of the solution can create another note to start the work on the project. This note can be linked back to the note detailing the problem resolution as a reference.

Simple tables with tasks, the task owners, schedules, status and a comment field can be used to plan and monitor the execution and shared with the team. The project owner can update the note with the progress, that is now instantly available to all concerned.

Similarly, weekly team deliverables and the planning for upcoming events etc. can be maintained in notes to help coordinate the team efforts.

A company or team may require maintaining several reports to gauge the overall project progress or health of the operations. Ideolve can be a good tool for maintaining such reports.

For example, the business team can create a note in which weekly updates are added to measure the number of new customers acquired for each product, the total invoicing, marketing spend, initiatives etc. Similarly, the services teams may have notes on the services tickets and outstanding issues.

Having a weekly update helps the team to quickly see progress or identify areas of concern. The note can also be shared with key stake holders to ensure visibility and enable pro-active support.

I created a tag called 'fun' (frequently used notes) to keep these notes handy.

Record Keeping

Let's take the example of a business team which creates proposals for prospects. The creation of these proposals is usually a team effort and as discussed above, Ideolve is well suited for it. Once all the ideas and information is in, the final proposal can be shared and reviewed by the team. A proposal once done can serve not just as a reference for future dealings with the customer, but also serve as a reference for future proposals to other customers resulting in tremendous savings of time and effort.
